We collect the information you give us when you create an account — your name, email address and company name — plus the documents you upload and basic usage data such as which features you use and when. We do not buy data about you from anyone, and we do not sell data about you to anyone.
Plans, spec books, addendums and any other files you upload remain your property. They are stored in your account's private storage, used only to produce your estimates and bid documents, and are never used to train AI models or shared with other customers.
To read and analyse your documents, BidPilot sends document content to third-party AI providers acting as our subprocessors. These providers process the content solely to return results to us and are contractually prohibited from using it for any other purpose, including model training.
Subscription billing is handled by Stripe. Your card details go directly to Stripe and never touch our servers. We receive only what we need to run your account: your plan, billing status and invoice history.
We use your information to provide the service, enforce plan limits, respond to support requests, and improve reliability. Usage data is analysed in aggregate. We send transactional email about your account; product updates are opt-in and every message has an unsubscribe link.
Your documents and generated outputs are kept for as long as your account is active. You can delete individual projects at any time, and deleting your account removes all associated documents and data from our systems within 30 days, except where the law requires us to keep billing records.
All data is encrypted in transit and at rest. Access to production systems is limited to the people who operate the service, and every access is logged. If a breach ever affects your data, we will notify you without undue delay.
You can access, correct, export or delete your personal data at any time from your account settings, or by asking us. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA — we honour those requests regardless of location.
